We use DeepL to understand German correspondence and to help draft routine German-language emails to Standesämter and archives. We do not treat machine translation as a certified translation for an authority that specifically requires a sworn/certified translator.

- Working through old administrative terminology one paragraph at a time
- Creating an English working translation for your own notes
Privacy: do not paste sensitive family records into the free service
DeepL’s current privacy policy and free-service terms say the free service should not be used for content containing personal or confidential data, and free-service content may be processed for a limited period to improve its systems. For our public workflow, the safest practice is to translate only the minimal, redacted text needed to understand a message.
DeepL is not a sworn translator
Whether an official translation is required depends on the procedure and receiving authority. Some German citizenship procedures in the United States state that English-language documents generally do not need translation, while other procedures or German registry offices can require translations and/or apostilles. Always follow the receiving authority’s instructions rather than paying for translations automatically.
Use our templates as the starting German text
For common Standesamt and archive requests, it is usually better to start with a purpose-built German template and edit the bracketed facts than to machine-translate a long English letter from scratch.
