Information you provide

If you subscribe to updates, email us or submit a records-research inquiry, you may provide information such as your name, email address, message, family relationship, places, dates and details about the record you are trying to locate. We use that information to respond, evaluate whether a request fits our services and, if you later engage us, perform the agreed work.

Research inquiry forms

The initial research inquiry is intended for basic case facts only. Please do not submit passport or ID images, Social Security numbers, banking information, full government identification numbers or similarly sensitive documents through the public intake form. If an accepted research request requires identity, relationship or authorization documents, we will request only what is reasonably needed for that work.

Research inquiry submissions are processed through our website hosting/form infrastructure, currently Netlify, and may also be delivered or copied into our business email workflow for review and response.

Records research and third parties

If you engage Gear Arena Records Research, fulfilling the agreed scope may require correspondence with government offices, archives, courts, registries or other record custodians. We share only information reasonably necessary for the authorized request. Requirements vary by custodian.

Hosting and analytics

The site is hosted through third-party infrastructure that may process technical information such as IP address, browser type, device information and request logs for security and operation. If additional analytics or tracking services materially change this processing, this policy will be updated.

Affiliate tracking

Retailers and affiliate networks may use cookies or similar technologies after you follow an affiliate link. Their privacy policies govern that processing.

Data retention and requests

We retain contact and inquiry information only as long as reasonably needed for the relevant purpose, recordkeeping, dispute prevention or legal obligations.
