Keep requests focused: Registrars may be able to clarify an entry they issued, but they are not required to perform open-ended genealogy research. A written explanation helps you interpret a record; request an official certified copy separately when your procedure requires one.
What I actually used when the office sent an IBAN

Several German offices replied with a fee, recipient name, IBAN and payment reference. I used Wise for at least three or four different German Standesämter/local authorities during our records project. It let me send the euro payment from the U.S. without having a German bank account and gave me a receipt I could email back to the office.

I still recommend asking for the office's current payment instructions rather than assuming they want a bank transfer. If they do send an IBAN, this is the workflow that worked repeatedly for me.

Why this format worked for us

Our successful requests identified the person precisely, explained the citizenship purpose, supplied supporting documents where useful, asked for current fees and international payment instructions, and gave the office an easy way to contact us if something was missing.

What to include when it helps

  • Full name at birth and later names
  • Date and place of birth
  • Parents or spouse when useful for identification
  • Approximate years of residence for Meldekarte research
  • Your relationship to the person
  • Proof of identity or lineage if the office requests it
  • Your complete mailing address outside Germany

Do not send unnecessary sensitive documents just because a template mentions attachments. The authority should receive what it needs for the specific request.
